Station Services handles contracts, invoicing and payments for three DAB multiplexes: Manchester DAB, South of the River Digital and City West Digital. This page explains what personal information that involves.
What we hold
- Contact details of the people at a radio station we deal with: name, job title, email address and phone number.
- When a contract is signed online: the name, position and signature given, and the date, time and network address it was signed from.
- From the technical worksheet: the contacts listed on it, and the name and email address of whoever submitted it. The rest of the worksheet (stream addresses, station names, logo) is about the service, not a person.
- Invoices and payments made under the contract.
Why
- To make and keep the carriage contract between the station and the multiplex.
- To get the station on air: the technical worksheet goes to Digris, the multiplexes’ technical partner, and Digris uses the contacts on it for technical matters and off-air alarms.
- To invoice, collect payments and keep the financial records the law requires.
Who else sees it
The multiplex you have the contract with, and Digris for the technical worksheet. We also use service providers to run this work, who handle the information only on our instructions: Microsoft (email), Cloudflare (this website, signing and storage), Xero (invoicing) and, where a station pays by Direct Debit, GoCardless. We don’t sell it or use it for marketing.
How long we keep it
- Contracts, signed copies, invoices and payment records: for as long as the contract runs and six years after it ends, because we have to keep financial records.
- Contact details and technical worksheets: for as long as the station broadcasts on the multiplex and twelve months after.
- A signing or worksheet link that is never used expires on its own (signing links after up to 90 days, worksheet links after 60).
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it or stop using it. Some of it we must keep for the periods above. To ask, email the address for your multiplex on the home page. If you are not happy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
